The Five-Step Employee AI Productivity Challenge
The goal: a tested improvement to one repetitive workplace task and a process coworkers can learn from—not just a general AI presentation.
The coaching cycle supports learning; this challenge is the employee's workplace application sequence.
| Step | Employee activity | Business benefit |
|---|---|---|
| Identify | Choose one repetitive workplace task. | Focuses AI on an actual business need. |
| Measure | Record how long the task currently takes. | Establishes a baseline. |
| Improve | Use an approved AI tool to assist with the task. | Builds practical AI skills. |
| Verify | Check accuracy, quality, and time savings. | Measures actual value. |
| Share | Demonstrate the improved process to coworkers. | Spreads useful knowledge throughout the company. |
Share a practical demonstration using synthetic or approved information, approved tools and human verification—never private employer or learner data. Coworkers are not automatically enrolled or certified; sharing does not qualify an employee as an instructor. Company-wide time savings or productivity gains are not guaranteed.
Coworker handoff checklist
Use this sharing aid when demonstrating your improved workflow. It is intended to help coworkers apply useful knowledge safely—not to measure task improvements or promise company-wide results.
- Approved scope. Name the one task your manager has approved, its intended outcome and what is out of scope. Coworkers should confirm approval before using it in their own role.
- Repeatable process. Share the steps, sample inputs, reusable prompts and expected output. Demonstrate with a synthetic or explicitly approved example, not private employer or learner records.
- Tools and information permissions. List the approved tool and settings, who may use it and which information may be entered or shared. Confirm each coworker's access and employer permissions; your approval does not transfer automatically.
- Human checks. Name who checks facts, calculations, completeness and sensitive information against trusted sources, and who gives final approval before the output is used or sent.
- Known limitations. Explain what you tested, where errors or unsuitable outputs may occur and when to use the original manual process. Do not assume the workflow is safe for other tasks.
- Stop and escalate. Stop if permissions are unclear, private information appears, checks fail or the task moves beyond the approved scope. Do not use or forward the output; contact your manager or the designated IT, privacy or security lead before continuing.
Share only the approved workflow and safe examples—not private learner grades, submissions or records. This handoff does not enroll or certify coworkers or authorize the employee to act as an instructor.
Useful work—not just tool familiarity
- Customer communication. Draft responses from an approved FAQ, with escalation rules and human review.
- Meeting follow-through. Turn sample notes into a checked summary and clear action list.
- Business reporting. Create and verify a weekly summary from a sample spreadsheet.
Practice uses synthetic or approved information—not confidential employer data by default. Employees learn to check AI outputs and retain human approval.
Evidence your employee can explain
A documented, tested business workflow; a portfolio case study; and an individual final demonstration—not simply a record of videos watched.
Planned completion standard: all required assignments, knowledge checks of at least 80%, and a final project of at least 80/100 meeting safety essentials.

- Provide a computer and reliable internet.
